The responsibility of Homeowner associations (HOAs) and community associations can be daunting. You may find that your board volunteers are unable to handle all the needs of your community and that is when it is time to consider a property management professional.

COMMUNICATION
Maintain communication with the board, association members/owners, and vendors
Respond to letters and log calls from owners
Send notices of annual meetings and meeting minutes.
FISCAL MANAGEMENT
Collect payments
Ensure bills are paid
Produce financial statements
Establish a draft budget for the board (with the guidance of the treasurer) and implement budget policy
ADVICE AND CONSULTATION
Advise the board on governing documents
Refer the board to other professional advisors (e.g. Attorneys, CPAs, engineers)
Referrals for insurance needs and help processing claims
RECORD KEEPING
Maintain files for each member of the association/owner
Maintain records for the association
PROPERTY MAINTENANCE
Negotiate contracts with board approval
Monitor contract vendors such as landscapers and custodial services
Handle emergency situations
We do NOT:
Negotiate disputes between owners. Managers, however, may handle communications in the case of governing document violations.
Advice on legal matters. Managers may recommend legal advice be solicited. Attorneys should be consulted for legal matters.
Have to be available 24/7. We do have prompt procedures to handle emergencies and pride ourselves on timely communication.
Have to be on-site whenever contractors are on the property. We may do checks and final inspections with a board member, if part of the management agreement.
Report to individual owners. We contract with the board, and owners must go through the board, rather than directly with the management company.
